Overview

Process requests for CityMD medical information for patients, doctors, hospitals, attorneys, insurance companies, courts, federal and state agencies and others in accordance with Federal, NY State, and CityMD regulations and policies.  

Responsibilities

A Release of Information / Medical Records Assistant is responsible for:

  • Opening, sorting, and reviewing all requests for medical information
  • Returning non-compliant requests to the requesting party with authorization requirements
  • Searching the EMR systems for appropriate documents verifying correct patient name and date of birth
  • Logging and scanning all requests utilizing the EMR systems
  • Logging all requests in the employee Excel spreadsheet
  • Completing invoice for processing fees to be sent with documents on all billable requests
  • Verifying that all documents have been included prior to sending, ensuring all documents belong to the request being processed
  • Obtaining certifications and notarizations as necessary
  • Sending all completed requests out via fax or USPS
  • Coordinating with other departments and sites as necessary
  • Answering phone in prompt and courteous manner
  • Returning all messages within 24 hours of receipt
  • Maintaining confidentiality and privacy of all medical records

Qualifications

A candidate’s qualifications will include:

  • High School Diploma or equivalent required
  • Previous Medical Records experience required; previous Release of Information experience strong preferred 
  • 1-3 Years of administrative experience in a healthcare setting 
  • Computer Proficiency (including Microsoft Suite)
  • Ability to navigate multiple computer systems and operate standard office equipment
  • Knowledge of release of information regulations
  • Excellent customer service skills
