The Workforce Systems Analyst is responsible for the administration and acts as a technical resource within the Information Technology (IT) Division and serves as the in-house Subject Matter Expert for Kronos and third-party physician scheduling software Intrigma.   

The Workforce Systems Analyst is responsible for proactive analysis, configuration, testing, implementation, auditing, training and end user support related to Kronos for the organization. Responsibilities include maintaining both employee-level and company-level Kronos data to ensure compliance with company policies. The role will recommend and lead process improvement projects along with implement timekeeping best practices. Significant emphasis on maintaining system integrity while performing regular reporting tasks using Kronos reporting console. The position frequently interacts with Operations Management, Benefits and Payroll.

This person will become knowledgeable about staffing optimization, demand forecasting, HR and operational processes and will be the "go-to" person for resolving operational issues related to Workforce Systems Management software.


  • Oversight and support of all Kronos modules implemented by CityMD, including Advanced Scheduler, Timekeeper, Workforce Analytics and Accruals (training to be provided)
  • Oversight and support of Intrigma third-party physician scheduling software
  • Responsible for all aspects of the Kronos workflow including but not limited to labor levels, organizational map, naming conventions, pay policy groups, pay codes, exceptions, overtime, shifts, holidays, work rules, and accruals
  • Acting as the Subject Matter Expert (SME) for all Workforce Management systems issues, and providing timely user support
  • Functioning as the primary liaison between Kronos and CityMD regarding all aspects of maintenance, issue resolution or project planning
  • Working closely with the CityMD Workday team to ensure synchronization with Kronos
  • Working closely with the Payroll Team to ensure accurate payroll by auditing timecards every other Sunday
  • Maintaining documentation of system configuration and administrative changes
  • Assisting in process improvement: partnering with the business to identify areas of efficiency improvement and automation
  • Assisting in Audits/Projects as needed
  • Gathering business requirements and translating them into actionable items


  • Bachelor’s (and/or certifications) in related discipline with specialized leadership training and/or demonstrated capability to perform job responsibilities through previous experience and education
  • Three years of experience with operational analysis, preferably related to healthcare staffing
  • Three years of experience with Kronos or equivalent systems in an administrative function           
  • Strong analytical and communications skills with the ability to participate in on-call and email support
  • Experience working with cross-functional teams
  • Highly detail-oriented with strong organizational skills
  • Ability work flexible hours to support business needs.
  • Ability to manage multiple tasks, prioritize, and adapt to a changing and fast-paced environment
  • Basic knowledge and application of applicable employment laws (ie Wage & Hour)
